A faculty member wishing to hire a Graduate Student Researcher (GSR) should first complete a
department authorization form for
GSR Appointment. The form includes terms of employment, GSR step, appointment percent
of time (e.g., 49%, 44%, 25%, and 24%), and account ID number to be charged.
Please consult the Department Policy on Graduate Student Researcher (GSR) Support.
On a quarterly basis, the faculty member signs the Graduate Division Remission Roster. The Office of Human Resources then
notifies the Graduate Student Support Office (UCLA Graduate Division) of all remissions-eligible student appointees no later than
one week before the quarter starts.
Standard Dates of Appointment: When appointing graduate students, standard dates should be
used in order for eligibility requirements to be determined and student benefits to be provided. The department normally appoints
GSRs on a quarterly basis, but they can be appointed up to 1 year:
Fall quarter: October 1 to December 31
Winter quarter: January1 to March 31
Spring quarter: April 1 to June 30
Summer: July 1 to September 30
Academic Year: October 1 to June 30
Effective Fall 2008, the minimum level of appointment is Step VII.

Percentage of Appointment: The percent-time of the GSR appointment determines eligibility for remission fees as follows:
49% time appointment - full tuition including GSHIP, Fee Remission I, Fee Remission II, and Nonresident tuition.
44% time appointment - not eligible for Nonresident tuition.
25% time appointment - only covers GSHIP, Fee Remission I, and Fee Remission II.
24% time appointment - not eligible for tuition.
Fee Remissions: GSRs are be eligible for up to four different remissions to be covered from the supporting account:
GSHIP (Graduate Student Health Insurance Plan)
Fee Remission I (Educational Fee)
Fee Remission II (Registration Fee)
NRT Remission (Nonresident Tuition)

Advancement to PhD Candidacy: Nonresident students in the Ph.D program qualify for a 100% reduction in the cost of the
NRT the quarter after they advance to doctoral candidacy for a maximum of three academic years.
Time Sheets: During their GSR appointment, students are required to fill out time-sheets on a monthly basis.
The time-sheet requires the professor's signature and an account number.
Work Hours: An appointment at the level of
49% is equivalent to 20 hours of service per week. According to campus-wide percent-time restrictions,
during the instructional periods, students may not be employed for more than 49% time in any combination of university titles -
GSR, TA, or Reader; however, during the inter-quarter periods and summer sessions, students may work up to 100%.
GSR Restrictions:
Limit on Quarters of Employment: Students may not work more than 18 quarters,
equivalent to 6 academic years, under any combination of TA/GSR appointments. Summer Session
appointments do not count toward the 18 quarter limitations. The department will notify students
in violation and the department can prepare an Exception Request one quarter in advance.
The request must be submitted at least two weeks prior to the effective date of appointment - the exception should include
detailed information about the student's academic profile.
Vacation and Sick Leave: GSRs are not eligible to accrue vacation or sick leave credit. Please note that there are no paid holidays as well.
